Without proper digitising, you end up with a blurry mess of thread that looks nothing like your brand. And nobody wants that on their work uniform.

How We Actually Do It: Step by Step

Step 1: We Assess Your Artwork

When your order comes through, the first thing we do is take a proper look at your artwork. We check the resolution, the complexity, the colour count, and whether it's going to translate well onto fabric.

A super detailed watercolour logo with 47 shades of colour? We'll have a chat with you about simplifying it. A clean vector logo? We're off to the races.

Tip: Always send us a vector file (AI, EPS, SVG or high-res PDF) if you have one. It makes the digitising process smoother and ensures better stitch accuracy.

Step 2: We Import the Design into Wilcom

We load your artwork directly into Wilcom Embroidery Studio as a background reference. This lets our digitisers trace over the design and build out the stitch structure layer by layer, colour by colour.

Step 3: We Map Out the Stitch Types

Not all parts of a design stitch the same way. Wilcom lets us assign different stitch types to different elements:

  • Satin stitches — great for text, borders and fine detail. They're smooth and shiny, which gives embroidery that premium look.
  • Fill stitches (also called tatami or step stitches) — used for large filled areas. They lay flat and look clean at any size.

Step 4: We Set Stitch Direction and Density

Step 5: We Sequence the Colours

Step 6: Underlay Stitches

This is one of those things most people don't know about but it makes a massive difference. Before the top stitches go down, we add underlay — a base layer of stitching that stabilises the fabric and gives the design something solid to sit on top of. Without proper underlay, embroidery can look lumpy or push the fabric out of shape.

Step 7: We Run a Test on Similar Fabric

Before your order goes into production, we run a test stitch-out on a similar fabric type. This lets us catch any issues — maybe a font's too small and it's filling in, or the density needs a tweak. We fix it, then run it again until it looks exactly right.

Step 8: Export the Final Stitch File

Once we're happy with the digitised file, we export it in the correct machine format and it's ready for production. The file gets saved too, so if you re-order down the track, we already have it ready to go.
